Abstract

This research aims to apply documentation activities in purpose to preserve the
archivist knowledge at Badan Perencanaan Pembangunan, Penelitian dan
Pengembangan Daerah (Bappeda) of Central Java Province. This research
employed a qualitative research method with an action research approach. Data collection involved participant observation and interviews. The interviews were done by using semi-structured techniques and the data were analyzed using interactive analysis methods. The finding shows that the activity of knowledge preservation has a goal to cope with the impact of the knowledge loss in the organization. Knowledge preservation needs to be done because the records management in Bappeda, Central Java Province is managed by an archivist who will enter his retirement period. The researcher takes an action by making videos about the records management in order to maintain the knowledge in the organization. The video making is done through five stages. The first stage is observation that is used to find the authentic evidences. The second stage is problem formulation that is done by having a discussion with the archivists, the administrative staffs and the Head of General and Staffing Subdivisions. The third stage is called the reflection of the observation results that is done by reviewing and uniting opinions about the video making. The fourth is action stage that results in making a video about records management, and the final stage is evaluation that is done by discussing again the result of video making with the archivists, secretarial administration staff and administrative staff.
Penelitian ini bertujuan untuk menerapkan kegiatan dokumentasi dalam
melestarikan pengetahuan arsiparis di Badan Perencanaan Pembangunan,
Penelitian dan Pengembangan Daerah (Bappeda) Provinsi Jawa Tengah.
Penelitian ini menggunakan metode penelitian kualitatif dengan pendekatan
penelitian tindakan. Teknik pengumpulan data yang dilakukan dengan cara
observasi partisipan, wawancara menggunakan teknik semi terstruktur dan data dianalisis menggunakan metode analisis interaktif. Hasil penelitian ini
menunjukkan bahwa kegiatan pelestarian pengetahuan ini memiliki tujuan agar
dapat menanggulangi dampak hilangnya pengetahuan dalam organisasi.
Pelestarian pengetahuan perlu dilakukan karena pengelolaan arsip dinamis di
Bappeda Provinsi Jawa Tengah dikelola oleh seorang arsiparis yang akan
memasuki masa purna bakti. Peneliti melakukan tindakan berupa pembuatan
video tentang pengelolaan arsip dinamis guna menjaga pengetahuan dalam
organisasi di Bappeda Provinsi Jawa Tengah. Pembuatan video dilakukan melalui tahap observasi dengan mencari temuan dan merumuskan masalah dengan berdiskusi bersama arsiparis, staff tata usaha dan Kepala Subbagian Umum dan Kepegawaian. Tahap merefleksikan hasil observasi dengan mengkaji ulang dan menyatukan pendapat mengenai pembuatan video. Tahap tindakan yang menghasilkan pembuatan video tentang pengelolaan arsip dinamis, dan tahap evaluasi dilakukan dengan berdiskusi kembali dengan arsiparis, staff tata usaha kesekretariatan dan staff tata usaha.
